Aindox is built on a simple principle: your files never leave your computer. All indexing, searching, and processing happens locally on your machine.
1. Who We Are
Aindox is a product by StudioDox, operating under studiodox.it. We develop local-first software tools for knowledge workers. For privacy matters, contact us at privacy@studiodox.it.
2. What Aindox Does
Aindox consists of two components:
- Desktop tray agent — indexes files on your local machine and runs a local search server on port 7700
- Chrome extension — connects your browser's AI interfaces (Claude, ChatGPT, Gemini, etc.) to the local search server
3. Data That Never Leaves Your Computer
The following is processed and stored exclusively on your local machine and is never transmitted to our servers or any third party:
- File contents, text extractions, and document embeddings
- File names, paths, and metadata
- Your vector index and all search data
- Search queries you type while using the extension
- The content of files you attach to AI conversations
- OCR-extracted text from scanned documents
- AI-generated document classification keywords
4. Data We Do Collect
We collect only the minimum necessary to operate the service:
- Email address — provided at registration, used to send your license key and for account management
- License key — generated at registration, stored locally on your machine, used to validate your plan at startup
- Plan status — free or Pro, used to enforce document limits and features
- Startup pings — when Aindox starts, it contacts our server to validate your license. We log the timestamp and plan type only
5. The Chrome Extension
The Aindox Chrome extension:
- Connects only to localhost:7700 (your local tray agent) — never to external servers
- Does not read, store, or transmit your browsing history
- Does not track which websites you visit
- Does not store any data between browser sessions
- When you attach files to an AI service, the content goes directly from your browser to that service — Aindox does not intercept or store it
6. Third-Party AI Services
When you use Aindox to attach files to Claude, ChatGPT, Gemini, or other AI services, you are sending that content directly to those services. What happens to that content is governed by their respective privacy policies, not ours.
7. Legal Basis (GDPR)
We are based in the European Union and comply with GDPR. Our legal basis for processing your email and license data is contract performance — we need this to provide the service you signed up for.
8. Data Retention
- Email and account data — retained while your account is active. Request deletion at privacy@studiodox.it
- Local data — stored under
%LOCALAPPDATA%\Aindox\. Delete it anytime via Settings → Open data folder
9. Your Rights
Under GDPR you have the right to access, correct, delete, or port your data, and to object to processing. Contact privacy@studiodox.it to exercise any of these rights.
10. Security
API keys (Voyage AI, Anthropic) are never stored on your machine. They are fetched from our server at startup, held in memory only, and discarded when the application closes.
11. Children
Aindox is not directed at children under 16. We do not knowingly collect personal data from children.
12. Changes
We may update this policy from time to time. Registered users will be notified of significant changes by email. The latest version is always at aindox.eu/privacy.html.
